Member Comments Requested re: A Draft Record Retention Policy


As can be expected, a large housing cooperative like GHI generates and receives a considerable amount of documents. Some of these records should be retained to protect GHI from liability in the event of litigation or administrative investigation; others must be retained to comply with city, state and federal laws and some should be kept permanently for historical reference. Periodically, some records must be disposed of to promote business efficiency, minimize expense for unnecessary storage, and to make it easier to locate useful records when needed.

Last year, GHI’s Board of Directors requested staff to recommend a revised record retention policy. During the Board meeting on February 25, 2019, the Board of Directors reviewed the draft record retention policy (see here) that staff prepared and decided that members should be given an opportunity to review and comment on the proposed policy before it is finalized and approved by the Board.

Members are encouraged to submit comments on the draft Record Retention Policy to the Manager’s office at mgmtoffice@ghi.coop . Alternatively, comments may be submitted either directly to the receptionist’s desk at the Administration office or posted to the Manager’s Office at 1, Hamilton Place, Greenbelt, MD 20770. Suggestions are welcome, regarding any additional documents that should be included in the record retention policy and the reasons for their inclusion.

Comments should be submitted no later than Friday, March 29, 2019.
